Job description
The Document Controller is responsible for managing, tracking, filing, and maintaining project documentation to ensure proper document control processes are implemented across the project. The role supports the project team by ensuring all incoming and outgoing documents are recorded, distributed, stored, and archived in accordance with project procedures and document control standards within the Parsons scope of work.
What You'll Be Doing:
- Electronically scanning documents for distribution as PDF digital copies to designated recipients and uploading to the client Contract Management System.
- Maintaining a hard copy reference library of all documentation to ensure quick and easy retrieval of information.
- Utilizing the latest version of Primavera Contract Management software for controlling and updating the status of Contract Documents.
- Preparing and registering Correspondences, Reports, Payment Requisitions, Variation Orders, Site Instructions, Punch Lists, and Non-Conformance Reports using Primavera Contract Management.
- Tracking, updating the status, and following up on Submittmits, Safety Reports, Request for Changes (RFCs), Site Minutes of Meetings, Progress Photographs, Contract Issues, and Drawings.
- Producing regular reports of outstanding actions and responses on correspondence through Primavera Contract Management.
- Ensuring the use of standardized forms and reports of the client available in Primavera Contract Management in coordination with PWA OP&M System.
- Ensuring integration with OP&M System from all project stakeholders: PWA-PMCs-Contractors.
Diploma or Bachelors degree in any field
At least 5 years of document control and tracking experience, including a minimum of 3 years using Electronic Document Management Systems (EDMS), preferably Primavera Contract Management.
Extensive knowledge and experience in document control from project initiation to closeout phases, utilizing computer-based systems (Primavera Contract Management/EDMS), within the framework of an integrated project services function for effective management of concurrent projects.
Proficiency in oral and written English language.
Good computer skills.
Strong organizational and time-management skills.
Attention to detail and accuracy in document management.
Ability to work effectively in a team environment.
Strong communication skills for coordination with various stakeholders.
Familiarity with construction or engineering industry standards and practices.
