As a Legal Secretary, you will be responsible for providing exceptional customer service, managing all communication channels, and ensuring the highest level of customer satisfaction. Your role will involve coordinating meetings with lawyers, handling inquiries, and maintaining accurate records.
Key Responsibilities:
- Receive customer inquiries through all communication channels.
- Respond to customers promptly and professionally.
- Understand customer needs and direct them to the appropriate service.
- Monitor potential customers until contracting.
- Coordinate and schedule meetings with lawyers.
- Send contracts, invoices, and meeting links.
- Follow up with customers after service completion and measure satisfaction levels.
- Address complaints and work on resolving or escalating them to management.
Financial Management:
- Issue invoices and send them to customers.
- Monitor outstanding debts.
- Send reminders before and after due payments.
- Prepare reports on outstanding and delayed amounts.
- Coordinate with management regarding affected customers.
System Management:
- Input customer data into the case management system (LOM).
- Continuously update customer and case information.
- Upload documents and link them to customer files.
- Ensure all customer data is complete before transferring to lawyers.
- Track the status of each case and inform the customer of any updates.
Administrative Coordination:
- Coordinate between customers and lawyers.
- Monitor the execution of required tasks by lawyers.
- Ensure compliance with deadlines.
- Prepare daily reports on customer service performance.
