Purpose
The HR Administration & Executive Support provides executive-level administrative support and professional HR operations support to the organization under the direction of the HR Manager. The role ensures effective coordination of executive and HR activities while supporting core HR processes, compliance, and employee lifecycle administration.
Nature & Scope
The role reports directly to the HR Manager and works closely with the CEO and leadership team to support executive coordination and HR operational activities. It supports day-to-day executive administration, HR processes, and board-related documentation as assigned.
The position serves as a key administration and HR coordination point for employees, management, and relevant external parties, ensuring confidentiality, compliance with Saudi Labor Law, and alignment with company HR policies and procedures.
Principal Accountabilities:
Executive & Administrative Support
- Provide administration support for executive activities as assigned by the HR Manager.
- Coordinate calendars, meetings, travel arrangements, and correspondence involving senior management.
- Prepare meeting agendas, presentations, minutes, and follow-up action items for leadership and board meetings.
- Support board and governance documentation, record keeping, and compliance activities.
- Handle sensitive and confidential information with discretion and professionalism.
HR Specialist & Employee Lifecycle Support
- Support end-to-end employee lifecycle activities including onboarding, probation, confirmation, transfers, and offboarding.
- Maintain accurate and up-to-date employee files, HR records, and HR systems.
- Prepare HR documentation including employment contracts, offer letters, HR letters, certificates, and employment verification.
- Coordinate recruitment logistics such as interview scheduling, candidate communication, and onboarding arrangements.
- Support performance management cycles by coordinating reviews, documentation, and follow-ups.
- Assist in the rollout and administration of HR policies, procedures, and employee handbook updates.
HR Operations & Compliance Support
- Support compliance with Saudi Labor Law, company policies, and internal HR procedures.
- Coordinate leave management, attendance tracking, and HR operational reporting.
- Assist with benefits administration and coordination with external HR service providers when applicable.
- Support HR audits and data requests.
- Act as a first point of contact for employee HR administrative inquiries and escalate issues to the HR Manager as required.
Project & Office Coordination
- Support HR-led initiatives, HR projects, and special assignments.
- Coordinate HR training logistics, employee development programs, and HR events.
- Maintain structured filing systems and documentation control.
- Contribute to continuous improvement of HR administrative and office processes.
