Job description

1.      Receive, prepare, and distribute work orders, communications, and related documentation to relevant personnel.

2.      Monitor and ensure implementation of all business operational requirements and standards with workshops, IVMS Tracking system, and internal stakeholders.

3.      Implement industry best practices to improve fleet performance, operational efficiency, and compliance.

4.      Conduct regular operational audits to ensure compliance with safety, regulatory, and company policies.

5.      Collaborate with technology and ERP teams to enhance fleet management systems and reporting capabilities.

6.      Develop strategies to improve vehicle utilization, reduce downtime, and optimize operational costs.

  1. Coordinate daily dispatch operations, ensuring timely delivery schedules.
  2. Assign drivers and vehicles based on route optimization and availability.
  3. Monitor real-time fleet status and resolve issues quickly.
  4. Communicate with customers and drivers to ensure smooth logistics flow.
  5. Maintain accurate records of deliveries, routes, and incidents.
  6. Ensure compliance with company policies, safety regulations, and local laws.
  7. To manage and oversee transportation activities, including planning routes.
  8. Their responsibilities can include tracking shipments, managing dispatch, ensuring regulatory compliance, and handling administrative tasks like proof of delivery.

15.  Determine the number of personnel, drivers, and vehicles required to transport machinery, equipment, and tools for each job as specified in work orders.

16.  Schedule and dispatch personnel, vehicles, and equipment to and from job sites according to operational requirements and client requests.

17.  Monitor the utilization and availability of personnel, equipment, and tools at various sites to ensure optimal resource allocation.

18.  Respond promptly and professionally to inquiries or concerns from clients and on-site personnel.

19.  Review and archive received documents, ensuring data accuracy, standardization, and accessibility.

20.  Develop and maintain an efficient system for electronic document archiving and retrieval by authorized stakeholders.

21.  Prepare and record documentation for tool and equipment movements prior to dispatch or upon receipt.

22.  Coordinate effectively with drivers, transport vendors, and truck companies to ensure smooth and timely transportation operations.

23.  Continuously assess and improve logistical procedures to enhance coordination and operational efficiency.
